Bill 18.5 hours at $175, 6 days at €1,100 or a £3,000 monthly retainer. Quantity times rate is calculated for you, decimals included.
Write "milestone 1 of 2, 50% of C$18,000" and AP knows it isn't a duplicate. On the final invoice, show the full fee, what's been paid and the balance.
Flights, hotels and licences go on their own lines with their own tax rate. Clients approve fees faster when expenses aren't mixed in.
Set VAT, GST or HST per line, or 0% with a reverse charge note and both VAT numbers. Bill in EUR, GBP, CAD, AUD, INR and more.
The Corporate design is calm and easy to scan, and you can switch to Elegant, Minimal or 13 others. Add your logo, colour and signature.
Plenty of downloadable templates sit behind an email or lead form. Here you fill in the invoice and download the PDF straight away, with no watermark.
Load the hourly, retainer, milestone, cross-border or Australian example, or start from the blank template.
Your firm and the client's legal name, the PO or SOW reference, the service period, hours or fees, expenses at cost and tax per line.
Check the live preview and download the PDF. On a paid plan, email it with the PDF attached and track the payment; from Pro, repeat retainers monthly.

A consulting invoice template is a ready-made invoice for billing advisory work by the hour, day, monthly retainer or fixed-fee milestone. It should show the PO or SOW reference, the service period, hours and rates, expenses at cost, tax and how to pay. Invoice Studio's template is free, needs no sign-up form and downloads as a PDF.
A consulting invoice template is a ready-made invoice layout for billing advisory work: hours, day rates, monthly retainers, fixed-fee projects and the expenses you paid on the client's behalf. The template above is free, works as a consultant invoice generator, needs no email or lead form, and works out the totals, tax and balance for you. Pick hourly, retainer or milestone, load one of the worked examples, change the names and download a PDF.
I've sent consulting invoices for everything from a two-hour pricing review to a six-month operations retainer, and the pattern is always the same. The work gets approved in a meeting. The invoice gets stuck in accounts payable because it's missing a PO number, the hours don't match the statement of work, or the flight receipt isn't attached. You'll get three billing models with real numbers, a comparison table, copy-paste notes and emails, and country notes for the US, UK, EU, Canada, Australia, India and Bangladesh.
A consulting invoice template is a reusable professional services invoice format, where you bill for time, expertise or an outcome rather than a physical product. It has the standard invoice fields plus the ones consultants need: an engagement or SOW reference, hours or days, a retainer period, milestone wording and an expenses section billed at cost.
Most consulting invoice templates you'll find are a Word or Excel file behind a sign-up form. They look fine until you need to bill 18.5 hours, add a hotel at cost and show 20% VAT on the fees but not on a zero-rated item.
The template on this page is a live editor instead. It uses Invoice Studio's Corporate design by default (calm navy, clean table, room for your logo), and you can switch to any of the 28 designs. Every line has its own quantity, rate, discount and tax, and the PDF has no watermark. If you need a general starting point first, the guide to what an invoice is covers the basics.
A consulting invoice, or any invoice for consulting services, should include your name and contact details, the client's legal name and billing contact, a unique invoice number, the issue date and due date, a clear description of the services with hours or days and rates, any expenses, the tax, the total due and how to pay. Add the PO number or statement of work reference whenever the client has one, because large clients' AP teams match invoices against it.
My pre-send checklist:
In the UK, GOV.UK lists what an invoice must include, and VAT-registered consultants need extra fields. The rest of the world is similar enough that this checklist covers you almost everywhere. For a field-by-field view with samples, see invoice format and samples.
To invoice hourly or time and materials consulting, multiply the hours you worked in the billing period by your agreed rate, list them on one line per workstream, and attach or summarise a timesheet. State the period and the SOW reference so the client can check the hours against what they approved.
Here's the first consultant invoice example in the tool. Priya Shah, a strategy consultant in Chicago, bills a logistics client monthly:
| Line | Qty | Rate | Amount |
|---|---|---|---|
| Strategy consulting, 1 to 31 October 2026 (timesheet attached) | 18.5 h | $175.00 | $3,237.50 |
| Travel expenses at cost: on-site workshop, Columbus (flight $412.60, hotel 2 nights $378.00) | 1 | $790.60 | $790.60 |
| Total due (Net 30) | $4,028.10 | ||
A few things make this one easy to approve. The hours are in decimals (18.5, not 18:30), which is what spreadsheets and AP systems expect. The period is on the line, not hidden in the notes. And the expenses are on their own line, at cost, with the receipts named. No sales tax appears because most US states don't tax consulting services, though a few do, so check your state.

To invoice a monthly retainer, bill a fixed amount at the start of each month for the period ahead, describe what the retainer covers, and add any extra hours from the previous month as a separate line. Retainers are usually billed in advance and due on receipt or within 7 to 14 days.
The second example is a UK consultant on a VAT-registered retainer:
| Line | Qty | Rate | VAT | Amount |
|---|---|---|---|---|
| Finance advisory retainer, November 2026 (up to 12 hours, board pack review, monthly call) | 1 | £3,000.00 | 20% | £3,000.00 |
| VAT at 20% | £600.00 | |||
| Total due (Due on receipt) | £3,600.00 | |||
The details that matter: the month is on the line, the scope is summarised in brackets, and the hour cap is written down so nobody argues about it later. If you go over, add a second line next month: "Additional hours, October: 3 h × £150". Don't fold overage into the retainer amount. Clients accept a separate, visible line far more easily than a retainer that quietly grows.
Retainers are where recurring invoices earn their keep. On the Pro plan and up, you can set this invoice to repeat on the 1st of every month on the recurring invoices page, and only edit it when there's overage. For the wider set of freelance billing models, the freelance invoice template guide has more retainer variations.
To bill a fixed-fee project, split the total fee into milestones in the contract, then invoice each milestone when it's delivered (or at a set date), stating the milestone number, what was delivered and the percentage of the total fee. The final invoice should show the full fee, the amounts already paid and the balance.
The third example is an operations review for a Toronto manufacturer, C$18,000 in two milestones of 50%:
| Line | Qty | Rate | HST | Amount |
|---|---|---|---|---|
| Operations review, milestone 1 of 2: discovery and findings report (50% of C$18,000 fee) | 1 | C$9,000.00 | 13% | C$9,000.00 |
| HST 13% (Ontario) | C$1,170.00 | |||
| Total due (Net 15) | C$10,170.00 | |||
Milestone 2 goes out when the implementation roadmap is delivered: "Operations review, milestone 2 of 2: roadmap and handover (50% of C$18,000 fee)", another C$9,000 plus HST. Write "1 of 2" every time. It tells the client's finance team this isn't a duplicate, and it tells them another invoice is coming.
Two milestone rules I stick to. First, tie each milestone to something the client can see (a report, a workshop, a sign-off), not to a vague "phase complete". Second, make the first milestone at least 30% and bill it early. On a three-month project, waiting until the end to bill is a cash-flow problem you chose.
When people ask how to bill for consulting services, the answer depends on scope. Hourly billing is best when the scope is unclear, retainers are best for ongoing advice with a predictable monthly load, and fixed fees are best when the deliverable is well defined. Many consultants use all three: a fixed-fee diagnostic, then a retainer, with an hourly rate for anything outside scope.
| Model | Best for | Example line | When you bill | Typical terms | Main risk |
|---|---|---|---|---|---|
| Hourly | Open-ended advice, audits, expert calls | 18.5 h × $175 | Monthly in arrears | Net 14 to Net 30 | Disputes over hours; attach a timesheet |
| Day rate | Workshops, interim roles, on-site work | 6 days × €1,100 | Monthly or per engagement | Net 14 to Net 30 | Half days; define them in the contract |
| Monthly retainer | Ongoing advisory, fractional CFO or CMO | November retainer × £3,000 | In advance, on the 1st | Due on receipt to Net 14 | Scope creep; cap the hours |
| Fixed fee, milestones | Reviews, strategies, implementations | Milestone 1 of 2, 50% × C$18,000 | On each milestone | Net 15 to Net 30 | Vague milestones; tie each to a deliverable |
| Value or success fee | Fundraising, cost reduction, sales | Success fee, 5% of savings achieved | When the result is confirmed | Net 30 | Measuring the result; define it in writing |
If you're sending your first freelance consultant invoice, I'd skip pure hourly with new clients. It caps your income at your hours and invites line-by-line questions. A small fixed-fee diagnostic (say $4,500 for two weeks) is easier to sell, easier to invoice and usually leads to a retainer.
Show reimbursable expenses on their own lines, separate from fees, labelled "at cost" (or with the markup stated, if your contract allows one), with the date and a short description, and attach the receipts. Only bill expenses the client agreed to in the SOW, such as travel, accommodation, software licences or third-party data.
This is the part most templates ignore, and it's the part that most often gets invoices queried. A few rules:
In the template, add an expense line with a quantity of 1 and the amount as the rate, then set its tax to 0% or to your VAT rate as needed. Per-line tax means you never have to fudge a total.
Most consultants use Net 14 or Net 30 for project and hourly invoices, and due on receipt for retainers billed in advance. Larger companies often insist on Net 30 or longer, so agree the term in the contract before you start, then print the same term and the actual due date on every invoice.
Net 30 means payment is due 30 days after the invoice date. An invoice dated 5 November 2026 on Net 30 is due on 5 December 2026. The Net 30 payment terms guide covers the date maths, early-payment discounts and when to push back.
What I've found works:
Late-payment law also helps. In the UK, B2B invoices can carry statutory interest at 8% plus the Bank of England base rate, plus fixed compensation of £40 to £100 depending on the debt. In the EU, the Late Payment Directive sets similar rules. In the US, it depends on your contract and your state, which is why the late fee belongs in the SOW.
To invoice a client abroad, bill in the currency you agreed, show both full addresses and the client's VAT or tax ID, and add the correct tax wording: often a reverse charge note for B2B services in the EU and UK, or an export-of-services note elsewhere. List a payment method that works across borders, such as Wise, PayPal or a bank transfer with SWIFT or IBAN details.
The fourth example is a Dutch IT consultant billing a German software company for six days of architecture work:
| Line | Qty | Rate | VAT | Amount |
|---|---|---|---|---|
| Cloud architecture review, on-site Berlin, 12 to 19 October 2026 | 6 days | €1,100.00 | 0% | €6,600.00 |
| Total due (Net 30) | €6,600.00 | |||
Notes on the invoice: "VAT reverse charge: Article 196, Council Directive 2006/112/EC. Supplier VAT: NL123456789B01. Customer VAT: DE123456789." On reverse charge VAT consulting invoices like this one, the general rule for B2B services within the EU is that VAT is due where the customer is established, and the customer accounts for it. Your invoice must still show both VAT numbers and the words "Reverse charge". The European Commission's VAT invoicing rules and the Your Europe guide to cross-border VAT spell it out. Check the customer's VAT number in VIES before you send.
Two things trip people up. Exchange rates: bill in one currency and don't add a second "approx." total in yours, because it confuses AP. And bank fees: write "All transfer fees to be paid by the sender (OUR)" if you want the full amount. Wise details often avoid the issue entirely. For more cross-border cases, see the international invoice generator.

The basic invoice is the same everywhere, but the tax fields change by country. Register for VAT, GST or sales tax only when you're required to or choose to, and once you are, show your tax number, the rate and the tax amount on every invoice. Thresholds change, so check them with your tax authority each year.
| Country | Tax on consulting | Registration point | What to add to the invoice |
|---|---|---|---|
| US | Usually none; a few states tax some services | Varies by state | EIN or SSN on a W-9 if asked; PO number; clients may send a 1099-NEC |
| UK | VAT 20% | Taxable turnover over £90,000 | VAT number, rate and VAT amount; reverse charge note for many overseas B2B clients |
| EU | VAT, 17% to 27% by country | Varies by member state | Both VAT numbers; "Reverse charge" for cross-border B2B |
| Canada | GST 5% or HST 13% to 15% | Over C$30,000 in four consecutive quarters | GST/HST number and the rate for the client's province |
| Australia | GST 10% | Turnover of A$75,000 or more | ABN, "Tax invoice" heading and the GST amount |
| India | GST 18% | ₹20 lakh for most service providers (₹10 lakh in special category states) | GSTIN, SAC code, place of supply; CGST and SGST, or IGST |
| Bangladesh | VAT 15% standard | Turnover-based; check with NBR | BIN if registered; for foreign clients, export proceeds through a bank or approved channel |
A few notes from experience. US clients will ask for a W-9 before they pay you, and the IRS explains the Form 1099-NEC they may file for your fees. In the UK, keep an eye on the VAT registration threshold on a rolling 12-month basis, not just at year end. An Indian consultant exporting services can usually zero-rate the invoice under a Letter of Undertaking. In Australia, the ABN is the first thing an AP team looks for. This table is a starting point, not tax advice.
The fifth consulting invoice example in the tool is a Sydney consultant: 5 days at A$1,600, plus 10% GST, A$8,800 in total, with "Tax invoice" and the ABN at the top.
Good invoice wording is short, specific and matches the contract. Copy these into the notes field of the template or your email, and swap in your own numbers.
Hourly: "18.5 hours, 1 to 31 October 2026, per SOW dated 2 September 2026 (PO 4471). Timesheet attached. Payment due within 30 days. Please quote the invoice number as your reference."
Retainer: "Finance advisory retainer for November 2026, billed in advance. Includes up to 12 hours; additional hours at £150 are billed the following month."
Milestone: "Milestone 1 of 2 (50% of the C$18,000 fixed fee) for the discovery and findings report delivered on 30 October 2026. Milestone 2 will be invoiced on delivery of the roadmap."
Late payment: "Invoices unpaid after the due date accrue interest at 1.5% per month, as set out in our agreement."

Subject: Reminder: invoice PS-2026-031 due 5 December
Hi Dana, a quick note that invoice PS-2026-031 ($4,028.10) is due on 5 December. I've attached it again in case it's easier. If it's already in your payment run, please ignore this. Thanks, Priya
On any paid plan, you can email the invoice with the PDF attached and send reminders in one click from the invoice reminders page. Payment tracking marks it partially paid, paid or overdue.
If you searched for a "consulting invoice template Word" or "consulting invoice template Excel" file, here is the trade-off. A file works if you send one or two invoices a month and are careful with formulas. An online template is better once you have several clients, retainers or multiple currencies, because it calculates the totals, numbers invoices and tracks what's been paid.
| Need | Word or Excel template | This consulting invoice template |
|---|---|---|
| Free with no sign-up form | Often gated behind an email form | Yes, PDF with no watermark |
| Decimal hours and per-line tax | Only if the formulas survive | Yes, worked out for you |
| Expenses at cost on separate lines | Manual | Yes, each with its own tax |
| Multiple currencies | Type the symbol yourself | 14 currencies, custom ones on Pro |
| Monthly retainer on repeat | Copy the file each month | Recurring invoices on Pro and up |
| Payment status | A separate spreadsheet | Partial, paid and overdue tracking |
If you prefer a file, the Word and Excel invoice template guide shows how to build one that adds up. If you want to compare designs first, the free invoice templates page shows all 16 side by side, and the services invoice template examples show how designers, developers and coaches lay out theirs.
The most common consulting invoice mistakes are missing the client's PO number, vague descriptions like "consulting services", mixing expenses into the fee, wrong or missing tax numbers, and sending the invoice late. Each one gives the client's AP team a reason to put it back in the queue.
