02 · Why it helps

Why choose invoicing software over a full accounting suite?

Pay for billing, not a back office

Starter is $3 a month and Pro $7, against $23 to $38 for entry accounting plans at regular price. If your accountant keeps the books, that gap is yours to keep.

Invoices that look like your business

28 designs with your logo, brand colour and font, on A4 or Letter. No third-party branding on the PDF.

Say the invoice instead of typing it

The free tool understands English and Bangla in the browser. Signed-in plans with AI use Claude plus ElevenLabs in 20 languages.

Payment details clients can't miss

Print Stripe, PayPal, Wise, Payoneer, bank, bKash, Nagad or cash under How to pay. Record full or partial payments as they land.

Clean exports for your accountant

CSV export of invoices, tax and payment status on Pro, plus every PDF. Your accountant works from real numbers, not screenshots.

Honest about where suites win

No ledger, bank feeds, expenses or payroll here. When you need those, we'll tell you to buy a suite.

03 · How it works

How to decide between invoicing and accounting software (3 steps)

  1. Step 1

    Answer the five questions

Payroll? Your own bank reconciliation? Your own VAT, GST or sales tax returns? 30+ expenses a month? Lender statements? One yes usually means a suite.

  2. Step 2

    Compare yearly, not promo, prices

Multiply each regular monthly price by 12. Xero Early at $27 is $324 a year; QuickBooks Simple Start at $38 is $456.

  3. Step 3

    Make one real invoice

Load an example below, swap in your client and download the PDF. If billing is the whole job, you have your answer.

Quick answer

Invoicing software creates, sends and tracks invoices. Accounting software such as QuickBooks, Xero or FreshBooks also keeps a double-entry ledger, connects to your bank, tracks expenses, produces financial statements and adds payroll. If you have no staff and an accountant keeps your books, invoicing software like InvoiceStudio, from $3 a month, is usually enough.

  12. FAQs

Invoicing software vs accounting software comes down to one question: do you need to bill clients, or do you need to keep the books? Invoicing software creates, sends and tracks invoices. Accounting software does that too, but it also runs a general ledger, connects to your bank, reconciles transactions, produces a profit and loss statement and balance sheet, and often handles payroll. InvoiceStudio is invoicing software. QuickBooks Online, Xero and FreshBooks are accounting suites. This guide shows where each one fits, what each costs as of 5 November 2026, and how to tell which one your business actually needs.

I've run a small service business on both. For years I paid for a full accounting package and used maybe 15% of it: the invoice screen and the "who owes me money" report. My accountant did the rest from a spreadsheet anyway. Later, with staff and a VAT registration, the suite earned its fee. Most people are in one of those two situations, and the trick is knowing which one is yours.

What is invoicing software, and what is accounting software?

Invoicing software is a tool for billing: you create an invoice, send it, and record when the client pays. Accounting software is a tool for bookkeeping: it records every money movement in your business, income and expenses, in a double-entry ledger so you can produce financial statements and tax returns.

Here is the plain split.

  • Invoicing software handles accounts receivable, the money clients owe you. Typical features: invoice designs, line items, tax rows, payment terms such as net 30, emailing the PDF, reminders, recurring invoices, and a dashboard of paid, partial and overdue invoices.
  • Accounting software handles the whole picture: receivables and payables, a chart of accounts, bank feeds that import transactions, bank reconciliation, expense categories, receipt capture, bills, sales tax or VAT returns, and reports such as profit and loss, balance sheet and cash flow. Many suites sell payroll as an add-on.

Every accounting suite includes invoicing. Very few invoicing tools include accounting. That one-way overlap is why people end up paying $38 to $140 a month for a suite when the only screen they open is "New invoice".

If you want a refresher on what the invoice itself must contain, read what an invoice is before you compare tools. The legal fields are the same whichever software prints them.

Invoicing software vs accounting software: the key differences

The key difference is scope. Invoicing software covers the money coming in from clients. Accounting software covers every transaction, in and out, and turns them into the statements your accountant and tax office need. The table shows how that plays out.

Read the bottom half of that table carefully. Ledger, bank feeds, expenses, financial statements and payroll are real work that InvoiceStudio does not do. If you need them inside one product, an accounting suite is the right purchase, and I'd say so to a friend.

What do QuickBooks, Xero and FreshBooks cost in 2026?

At regular monthly prices, the entry plans are QuickBooks Online Simple Start at $38, Xero Early at $27 and FreshBooks Lite at $23. All three run steep introductory discounts, so the first few months cost much less. I checked each official US pricing page on 5 November 2026.

QuickBooks Online

According to the QuickBooks Online pricing page, there are five tiers:

  • Free: $0, 1 user, income and expense tracking, 2 invoices a month (more if you use QuickBooks Payments), 3 core reports and 1 bank connection.
  • Simple Start: $38 a month, 1 user plus 2 accountants, automated bookkeeping, invoicing with online payments and bill pay.
  • Essentials: $85 a month, 3 users, enhanced reports and employee time on invoices.
  • Plus: $140 a month, 5 users, reconciliation, budgets, project profitability and inventory.
  • Advanced: $340 a month, 25 users, permissions and workflow automation.

The page showed 50% off for the first 3 months. Payroll is separate: the QuickBooks Payroll pricing page listed bundles from $88 plus $6.50 per employee at regular price.

Xero

The Xero US pricing page lists three plans with no per-user fees:

  • Early: $27 a month, capped at 20 invoices and quotes and 5 bills, with bank reconciliation, sales tax and real-time reports.
  • Growing: $59 a month, adding automated bill entry, auto-reconciliation and budgeting.
  • Established: $97 a month, adding multiple currencies, project time and cost tracking, and expense claims.

Xero Payroll, powered by Gusto, was listed at $36 a month plus $6 per employee or contractor. New customers were offered 80% off the base plan for 3 months.

FreshBooks

The FreshBooks pricing page lists:

  • Lite: $23 a month, up to 5 billable clients, unlimited invoices, expenses and time tracking. No double-entry accounting or bank reconciliation on this tier.
  • Plus: $43 a month, up to 50 billable clients, double-entry accounting, bank reconciliation and accounting reports.
  • Premium: $70 a month, unlimited clients, project profitability and accounts payable.
  • Select: custom pricing, 2 users included.

Extra team members were $11 a month each, and payroll was a $40 a month add-on plus $6 per user. The page showed 80% off for the first 4 months.

Prices change often, and these are US prices. UK, Canadian, Australian and Indian pages show different plans and local currency. Check the vendor's page for your country on the day you buy.

Invoicing software vs accounting software: a simple invoice screen next to a full accounting dashboard with bank feeds, ledger and payroll menus
One screen bills clients. The other runs the whole back office. Most freelancers only open the first.

Where is accounting software stronger?

Accounting software is stronger whenever the job goes beyond billing: matching bank transactions, tracking what you spend, paying staff, filing tax returns from the same data, or giving your accountant live access to the books. Here is where I'd tell you to buy a suite and not look back.

  • Bookkeeping in one place. A double-entry ledger records both sides of every transaction. When your invoice is paid, the suite moves it from receivables to the bank account automatically. InvoiceStudio records that the invoice was paid, but it keeps no ledger.
  • Bank feeds and reconciliation. Suites pull transactions from your bank and let you match them to invoices and bills. That alone can save an hour a week once you have more than 50 transactions a month.
  • Expenses and bills. Receipt capture, bill payment and expense categories are core features in all three suites. InvoiceStudio doesn't track expenses.
  • Payroll. If you employ people, payroll with tax filings is worth paying for. All three offer it as an add-on. InvoiceStudio has no payroll.
  • Financial statements. Lenders, investors and tax offices ask for a profit and loss statement and a balance sheet. Suites produce them on demand.
  • Tax filing. Depending on the country, suites support sales tax, VAT or GST returns from the ledger. InvoiceStudio shows tax correctly on each invoice, and its tax report lists what you charged, but it doesn't file returns.
  • Online card checkout. Each suite has a payment service that puts a "Pay now" button on the invoice. InvoiceStudio prints your payment methods instead, such as a Stripe payment link, PayPal, Wise or bank details.
  • Several users. QuickBooks Essentials gives 3 users, and Xero has no per-user fee. InvoiceStudio has one login per account today.

When is invoicing software enough?

Invoicing software is enough when you have no employees, a simple bank account, and an accountant (or a spreadsheet) who handles the year-end. That describes most freelancers, solo consultants and small studios in their first few years. In that setup, the suite's extra features sit unused while the bill arrives every month.

Ask yourself these five questions:

  1. Do you run payroll for employees? If yes, you need payroll software, usually inside a suite.
  2. Do you reconcile your own bank account every month? If your accountant does it once a year from statements, you don't need bank feeds.
  3. Do you file your own VAT, GST or sales tax returns? If yes, and the rules require digital records, you likely need accounting software.
  4. Do you have more than about 30 expenses a month to categorise? At that point receipt capture starts paying for itself.
  5. Does a lender or investor want monthly statements? Then you need a ledger.

Five "no" answers means simple invoicing software is the better buy. Even one "yes" usually means a suite, though some people split the jobs, as I explain below.

What you get from InvoiceStudio in that setup: invoices in 28 designs with your logo, brand colour and font on A4 or Letter; 14 built-in currencies plus custom ones; line items with quantity, unit, per-line discount and tax; tax and fee rows for VAT, GST or sales tax; payment methods printed under "How to pay", from bank transfer to bKash and Nagad; emailing with the PDF attached; one-click reminders; and payment tracking with partial payments and overdue status. Paid plans start at $3 a month, and recurring invoices come with Pro at $7.

Flowchart: do you need accounting software? Five yes or no questions about payroll, bank reconciliation, filing your own tax returns, monthly expense volume and lender statements, leading to either an accounting suite or simple invoicing software plus your accountant
Five questions decide it. One "yes" usually points to a suite.

How much does each option cost over a year? Three worked examples

Over 12 months at regular prices, the entry plans cost $456 for QuickBooks Simple Start, $324 for Xero Early and $276 for FreshBooks Lite, against $36 for InvoiceStudio Starter or $84 for Pro. The gap only matters if you don't need the extra features, so here are three real-looking cases.

Example 1: the freelance copywriter

Maya writes for SaaS companies from Chicago. She sends 8 invoices a month, has no employees, and her accountant prepares her Schedule C from a spreadsheet each spring. A typical invoice: 6 blog posts at $250 plus a $300 strategy call, $1,800 on net 15. She doesn't reconcile her bank account or file sales tax, because her writing services aren't taxed where she works. InvoiceStudio Starter at $36 a year covers everything she does. QuickBooks Simple Start would cost her $456 a year for features she wouldn't open. Saving: $420 a year.

Example 2: the UK web developer near the MTD threshold

Tom is a sole trader in Bristol billing about £55,000 a year. Since 6 April 2026, Making Tax Digital for Income Tax applies to sole traders and landlords with qualifying income over £50,000, which means keeping digital records and sending quarterly updates through compatible software. InvoiceStudio is not MTD software. Tom's honest answer is an accounting tool that is MTD-compatible. If he likes InvoiceStudio's invoices, he can still make them there and record each one in his books, but that is two tools and some double entry. For him a suite is probably simpler. I'd rather say that than sell him the wrong thing.

Example 3: the five-person studio with payroll

A design studio in Austin has 3 employees and 2 contractors. Payroll alone settles it: they need payroll software, and Xero with Gusto payroll would run $59 + $36 + 5 × $6 = $125 a month at regular price, or $1,500 a year. That's a fair price for what it does. They don't need a separate invoicing tool, because the suite's invoices are fine for their clients.

Use regular prices, not the promo price, when you compare. A plan at 80% off for 3 months looks cheap until month 4. Multiply the regular monthly price by 12 and compare that number.

Bar chart of yearly cost at regular US prices checked 5 November 2026: InvoiceStudio Starter $36, InvoiceStudio Pro $84, FreshBooks Lite $276, Xero Early $324, QuickBooks Simple Start $456, FreshBooks Plus $516, Xero Growing $708, QuickBooks Essentials $1,020, with notes on what each price includes
Yearly cost at regular monthly prices. Promotional discounts make the first months cheaper.

Can you use invoicing software and accounting software together?

Yes, but only when each tool earns its place. The common pattern is invoicing software for the client-facing side and an accountant who keeps the books from your exports and bank statements. Running two paid subscriptions that overlap is rarely worth it.

Be clear about one thing: InvoiceStudio has no direct connection to QuickBooks, Xero or FreshBooks. What it has is CSV export on Pro and above, with invoice numbers, dates, clients, amounts, tax and payment status. Your accountant can import that or work from it at year-end. If you want every invoice to flow into a ledger automatically, make the invoices in the accounting suite itself.

A setup that works well for many solo businesses:

  1. Make every invoice in one place. Use a consistent numbering series, for example INV-2026-001 onwards. Our invoice number guide shows formats that keep auditors happy.
  2. Record payments as they arrive. Mark full or partial payments on the dashboard the day the money lands. If a client sends remittance advice, match it to the invoice number.
  3. Keep a business-only bank account. The SBA's guide to managing your finances recommends separating business and personal money, and it makes your accountant's job far cheaper.
  4. Export monthly. Download the CSV and the PDFs at month-end and drop them in a shared folder with your bank statements and receipts.
  5. Review once a quarter. If your accountant starts charging extra hours to rebuild your books, that is the signal to move to a suite.
A freelancer exporting a monthly CSV of invoices and payments for an accountant, with bank statements and receipts in a folder beside the laptop
Invoices in one tool, books with your accountant: a monthly CSV and PDF export keeps both sides in step.

Country notes: records, tax and digital filing rules

Your choice of software doesn't change your record-keeping duty. What changes by country is whether tax rules push you toward accounting software that files digitally.

  • United States. The IRS guidance on keeping records generally means 3 years from filing, longer in some cases. There is no federal rule that you must use accounting software. If you pay contractors and need to issue 1099s, or employ staff, a suite with payroll saves real time. Sales tax on services depends on the state.
  • United Kingdom. Making Tax Digital for VAT already requires compatible software for VAT returns, and MTD for Income Tax started on 6 April 2026 for sole traders and landlords over £50,000, with lower thresholds planned. Limited companies must keep accounting records for 6 years. If you're below the thresholds and not VAT-registered, invoicing software plus an accountant still works. For invoice fields, see our UK VAT invoice guide.
  • European Union. The EU VAT invoicing rules set what an invoice must show. Several member states now require e-invoicing in set formats for some B2B transactions, so check your country's rules before you choose any tool.
  • Canada. The CRA generally expects records for 6 years. Once you're registered for GST/HST, invoices must show your registration number, and you file returns from your records, which a suite makes easier.
  • Australia. The ATO generally expects records for 5 years. GST-registered businesses lodge a BAS, and most do that through accounting software or a BAS agent. A tax invoice must show your ABN and the words "Tax invoice".
  • India. GST-registered businesses file returns on the GST portal and need invoices with GSTIN, HSN or SAC codes and the CGST, SGST or IGST split. Many small businesses invoice in a simple tool and let a CA file the returns. See our GST invoice format guide.
  • Bangladesh. VAT-registered businesses follow NBR rules and Mushak forms. Many freelancers paid from abroad don't need full accounting software, but they should keep invoices, bank records and the exchange rate used. Check current rules with the NBR or your adviser.

These notes are a starting checklist, not tax advice. Confirm the rules for your situation with your accountant or the tax authority.

What are the signs you've outgrown invoicing-only software?

You've outgrown invoicing-only software when the work around your invoices takes longer than the invoices themselves. These are the signals I watch for:

  • You hire your first employee and need payroll.
  • Your accountant's bill goes up because they rebuild your books from statements.
  • You register for VAT or cross an MTD threshold, and returns must be filed from digital records.
  • You have 40 or more expense receipts a month.
  • Clients increasingly want a "Pay by card" button inside the invoice.
  • A bank or investor asks for monthly profit and loss statements.
  • Three or more people need their own login.

None of these is a failure. It's growth. When two or three apply, move to a suite and make your invoices there.

What mistakes do people make choosing between them?

The most common mistake is buying a full accounting suite on day one because it feels "proper", then using only the invoice screen. The second is the opposite: staying on a simple tool after hiring staff and doing payroll by hand.

  1. Comparing promo prices. $5.40 a month for 3 months becomes $27. Compare the regular yearly cost.
  2. Ignoring plan caps. Xero Early caps invoices and quotes at 20, and FreshBooks Lite caps billable clients at 5. QuickBooks Free allows 2 invoices a month. Count your volume first.
  3. Assuming a tool does bookkeeping because it has reports. InvoiceStudio's reports cover money received, tax charged, ageing and average days to get paid. That is not a ledger, and it won't produce a balance sheet.
  4. Paying for two overlapping suites. If you already pay for QuickBooks or Xero, use their invoices unless you have a specific reason, such as design or voice input.
  5. Not asking your accountant. Many accountants have a preferred suite and give discounts on it. Ask before you buy.
  6. Restarting invoice numbers when you switch. Continue the series. Duplicate numbers confuse clients and tax offices.

Which should you choose?

Choose accounting software if you have payroll, file your own tax returns from digital records, or need a ledger and bank reconciliation. Choose invoicing software if you're a freelancer or small service business whose main job is billing clients and getting paid, with an accountant handling the books.

For a broader view of simple tools, our guide to choosing a free invoice app has a scoring checklist, and the Zoho Invoice comparison covers another free option. If you're leaning toward invoicing software, the quickest test is to make one real invoice. Use the free invoice generator on this page, load one of the examples, swap in your client, and download the PDF. If you need a refresher on the fields, read how to make an invoice first. Plans are on the pricing page: Starter at $3 a month adds unlimited invoices and emailing, and Pro at $7 adds recurring invoices, quotes, reports, CSV export and voice invoicing in 20 languages.

And if the five questions above pointed you to a suite, buy the suite. The right tool is the one that matches the job you actually do every month.

FAQs

Frequently asked questions

What is the difference between invoicing software and accounting software?

Invoicing software bills clients: it creates invoices, emails them and tracks payments. Accounting software keeps your books: a double-entry ledger, bank feeds and reconciliation, expenses, bills, financial statements and often payroll. Every accounting suite includes invoicing, but invoicing tools such as InvoiceStudio don't include accounting.

Do freelancers need accounting software?

Not always. If you have no employees, one business bank account and an accountant who prepares your return, invoicing software plus organised exports is often enough. You likely need accounting software if you run payroll, file your own VAT or GST returns, or fall under rules such as UK Making Tax Digital.

Is InvoiceStudio a QuickBooks alternative?

Only for invoicing. InvoiceStudio makes, sends and tracks invoices, quotes and other documents, with 28 designs and voice input. It has no ledger, bank feeds, expense tracking or payroll, so it doesn't replace QuickBooks for bookkeeping. If invoices are all you use QuickBooks for, it can replace that part at a lower price.

Does InvoiceStudio connect to QuickBooks or Xero?

No, there is no direct connection today. On the Pro plan you can export invoices, tax and payment status as CSV, plus every PDF, for your accountant to import or review. If you want invoices to post to a ledger automatically, create them inside your accounting software.

How much do QuickBooks, Xero and FreshBooks cost?

On their US pricing pages, checked 5 November 2026: QuickBooks Online from $38 a month (Simple Start), Xero from $27 (Early) and FreshBooks from $23 (Lite), at regular prices. All three offer introductory discounts, and payroll is a paid add-on. Check each vendor's page for current and local pricing.

Can I use invoicing software and keep my books in a spreadsheet?

Yes, many sole traders do. Make every invoice in one tool, record payments as they arrive, keep a business-only bank account and export a CSV each month. Check your local rules first: digital record requirements such as UK MTD can require compatible software.

When should I switch from invoicing software to accounting software?

Switch when you hire your first employee, register for VAT or cross a digital filing threshold, have 40 or more expenses a month, or your accountant charges extra to rebuild your books. When switching, continue your invoice numbering. See our invoice number guide.
