02 · Why it helps

Why use these free invoice templates instead of a download?

28 designs, one click apart

Go from black-ink Minimal to a gold-accented Royal without retyping a word. Your client, items and totals stay exactly where they are.

See it with your data first

Every card previews a real invoice, and clicking it loads your own details into that layout. No more downloading five files to find one you like.

Totals that can't be wrong

Quantity times rate, discounts, tax and the balance due are calculated as you type. A typed-in total in a Word file is how $640 goes missing.

Your logo and colour everywhere

Set your brand colour once and every design picks it up. Add a logo, a font and your signature in the free account editor.

Tax lines for any country

Add VAT, GST, HST or sales tax per line in 14 currencies, or leave tax off. Print your VAT number, GSTIN, ABN or BIN under your name.

A clean PDF, free

Download a print-ready PDF on A4 or US Letter with no watermark and no signup. Create a free account to save and track it, or go Starter at $3 a month to email it.

What is an invoice template?

An invoice template is a ready-made invoice layout you fill in with your business details, your client and your line items, then send as a finished bill. The good free invoice templates give you every field an invoice legally needs, do the maths for you and print cleanly on A4 or US Letter.

The gallery above has 28 of them: six classics (Classic, Minimal, Corporate, Creative, Modern and Elegant), 10 gradient designs called Aurora, Sunset, Midnight, Split, Candy, Poster, Wave, Glass, Prism and Royal, and 12 newer ones such as Pastel Panels, Scallop, Horizon, Noir Glow, Ledger and Ticket. Click any card and it loads into the generator below with your data, not a lorem-ipsum sample. Change the design and the same invoice redraws in the new layout. When it looks right, press Download PDF. It works as an invoice template PDF free download: no watermark, and no account needed for the file.

I've used static templates for years, the kind you download as a Word file and fill in by hand. They work until the day you type 14 hours instead of 41 and nobody notices, including you. An editable invoice template that calculates is the fix. If you want the background on what every invoice must say, our guide on how to make an invoice covers it field by field.

Modern, minimalist or professional: which invoice template should you pick?

Pick the template that matches how your client expects you to look: conservative clients get Classic, Corporate or Elegant, and creative clients get a gradient design. The design never changes the numbers, so you can switch at any time without retyping.

Here's how I'd match each design to a business.

TemplateLookBest for
ClassicClean and familiar, blue accentAnyone who wants a safe default, cleaners, tutors, small shops
MinimalBlack ink, lots of white spaceWriters, developers, photographers, cheap to print
CorporateBold colour band across the topTrades, contractors, B2B services that bill larger firms
CreativeRounded shapes, vivid purpleIllustrators, social media managers, event planners
ModernBig type, sharp orange accentStudios and agencies that want a confident first line
ElegantSerif type, centred headerConsultants, lawyers, accountants, architects
AuroraGlowing violet gradient headerBrand designers and SaaS freelancers
SunsetWarm pink-to-orange washWedding and portrait photographers, florists
MidnightDark sheet with a neon glowDevelopers, game studios, music producers
SplitGradient side panel, big totalAnyone who wants the amount due to jump off the page
CandyPastel cards and pillsBakeries, kids' classes, beauty and nail studios
PosterGiant gradient titleMusicians, DJs, street food, pop-up events
WaveCurved ocean-teal headerTravel, wellness, pool and garden services
GlassFrosted card on colourTech consultants and product designers
PrismThree-colour spectrumMarketing agencies with several service lines
RoyalDeep purple with gold accentsLuxury services, jewellers, high-end venues

If your client prints invoices for their files, a gradient header uses more ink, so Minimal or Classic is the kinder choice. And if you have a logo, pick the brand colour from it and every design picks that colour up. A Prism invoice in your own green looks very different from the default.

Good invoice design is mostly hierarchy: who it is from, what is owed and by when. If you want a simple invoice template, Classic does that job, and Minimal is the most minimalist invoice template of the 28. For a modern invoice template free of clutter, Modern and Split put the total first.

Free invoice templates gallery on a laptop showing Classic, Elegant, Aurora and Sunset invoice designs filled with the same client data
One invoice, 28 designs. Click a card and your own data redraws in that layout.

Most people get one thing wrong here: they pick a template once and then fiddle with it every month. Choose a design, set your colour and logo, and keep it. Clients recognise your invoice in a crowded inbox, and their accounts team learns where your bank details sit.

What should a professional invoice template include?

A professional invoice template includes the word "Invoice", a unique invoice number, the issue and due dates, your details and your client's, itemised charges, tax, the total due and how to pay. Miss any one of these and you invite a "can you resend this?" email that costs you a week.

The UK government's list of what an invoice must include is a good baseline for any country. Here's the full set I put on every invoice:

  1. Title. "Invoice", or "Tax invoice" where the law asks for it, such as Australia and India.
  2. Invoice number. Unique and in sequence, for example INV-2026-0042. Our invoice number format guide has schemes that still make sense at invoice 900.
  3. Issue date and due date. Write the due date as a date, "Due 19 November 2026", not just "Net 14".
  4. Your business. Legal name, address, email and any tax number: VAT, GSTIN, ABN, GST/HST or BIN.
  5. Bill to. The client's legal company name and billing address, plus a purchase order number if they gave you one.
  6. Line items. Description, quantity, unit and rate, with the line total worked out.
  7. Subtotal, discounts, tax and shipping. Show tax by rate, so 20% VAT and 0% items don't blur together.
  8. Total due. Big, bold and in the right currency. If a deposit was paid, show it and the balance.
  9. How to pay. Bank details, PayPal, Wise, Stripe link, bKash or Nagad number, and the reference to quote.
  10. Notes and terms. Late fee policy, thank-you line, and any legal wording such as a reverse-charge note.
Labelled anatomy of a professional invoice template with ten numbered parts: invoice title, invoice number, issue and due dates, your business and tax number, bill-to client, line items with quantity and rate, subtotal and tax by rate, total due, how to pay block and notes and terms, with a side note on A4 and US Letter paper sizes
The ten parts every professional invoice template needs, whichever design you choose.

Every one of the 28 designs above has a place for all ten. The difference between them is purely how it looks. For printed samples of each part, see our page of invoice format samples.

How do you use a free invoice template? (step by step)

You use a free invoice template by choosing a design, replacing the sample details with yours, adding one line per item, checking the total and exporting a PDF. With the gallery above it takes about five minutes the first time.

Here's a real run-through: a brand designer billing a startup for a logo and a landing page.

  1. Pick the design. Click Aurora in the gallery. The generator scrolls into view with the violet gradient applied.
  2. Fill in From. "Mira Chen Studio, 88 Valencia St, San Francisco, CA 94103, mira@mirachen.studio".
  3. Fill in Bill to. "Owen Park, Fernleaf Labs Inc., 500 Howard St, San Francisco, CA 94105".
  4. Number and dates. INV-0031, issued 5 November 2026, due 19 November 2026.
  5. Line items. Brand identity design: 1 × $1,800. Landing page design: 1 × $1,200. Subtotal: $3,000.
  6. Deposit. The client paid 50% upfront, so the note reads "Deposit of $1,500 received 20 Oct 2026. Balance due: $1,500."
  7. Tax. Leave it at 0%. Design services are usually outside California sales tax, but rules differ by state and by deliverable, so check yours.
  8. Colour. Swap the default violet for the brand's own hex code if you have one.
  9. Download. Press Download PDF and name the file INV-0031_FernleafLabs_2026-11-05.pdf.

Save a free account if you'll bill this client again. Your design, colour, logo and client details are kept, so the next invoice takes about 60 seconds.

The quick generator on this page is also the free invoice generator in a design-first wrapper. If you only care about the PDF, the PDF invoice generator page explains paper sizes and file naming in more depth.

Invoice template PDF vs Word vs Excel vs Google Docs: which format is best?

PDF is the best format to send, because it locks your layout and totals and looks the same on every device. Word, Excel and Google Docs are fine for drafting, but they let fonts shift, cells break and figures change by accident.

I'll be honest about what this page does: it exports PDF. It doesn't export Word or Excel files. If your bookkeeper insists on a spreadsheet, the Pro plan exports your invoices as CSV, or read our guide to invoice templates in Word, Excel and Google Docs, which compares them fairly.

FormatTotals calculateLooks the same everywhereHard to edit by accidentBest use

Excel templateYes, if formulas holdNo, print areas breakNoInternal drafts and lists
Google Docs or SheetsSheets onlyMostlyDepends on sharingShared drafts with a partner
Blank printable PDFNo, you write themYesYes once printedCash jobs and markets

The worst case I've seen: a Word template where the Total cell was typed in, not calculated. The freelancer added a line, forgot to update the total, and undercharged by $640. A template that calculates makes that mistake impossible. If you do want a paper option for cash jobs, our blank printable invoice template guide has layouts that work with a pen.

What do filled-in invoice templates look like? Three worked examples

Filled-in invoice templates look like the three below: one UK consultant with VAT, one Indian agency with GST and one German developer billing a French company under the reverse charge. Each one is also a card in the examples section, so you can load it into the tool and change it.

1. UK consultant on the Elegant template (£1,980)

A strategy consultant in Bristol runs a one-day workshop and writes a follow-up report for a Leeds retailer.

  • Strategy workshop, 1 day: 1 × £1,200 at 20% VAT
  • Follow-up report and action plan: 1 × £450 at 20% VAT
  • Subtotal £1,650, VAT £330, total due £1,980, Net 30

Why Elegant: serif type and a centred header read as "advisor", which is exactly the impression a consultant wants. The VAT number sits under the business name. See our consulting invoice template page for hourly and retainer versions.

2. Indian marketing agency on the Prism template (₹82,600)

A Pune agency bills a Pune client for a month of social media and paid ads management.

  • Social media management, November 2026: 1 × ₹45,000 at 18% GST
  • Paid ads management: 1 × ₹25,000 at 18% GST
  • Subtotal ₹70,000, GST ₹12,600 (CGST 9% ₹6,300 plus SGST 9% ₹6,300), total ₹82,600

Why Prism: three colours suit an agency with several service lines, and the header still looks professional. Because the supply is within one state, the note splits GST into CGST and SGST. A client in another state would get IGST at 18% instead. The marketing agency invoice template page has a retainer version.

3. Berlin developer on the Midnight template (€6,650)

A freelance backend developer in Berlin bills a Paris SaaS company for a month of work.

  • Backend development: 64 hours × €95 = €6,080
  • Code review and deployment: 6 hours × €95 = €570
  • VAT 0%, total €6,650, both VAT numbers printed, reverse-charge note added

Why Midnight: a dark sheet with a neon accent suits a developer billing a tech company, and it stands out in their accounts inbox. If you bill across borders often, the international invoice generator page covers currencies and wording in detail.

Three printed invoice templates side by side on a desk: an Elegant UK VAT invoice, a Prism Indian GST invoice and a dark Midnight EU reverse-charge invoice
Same fields, three designs, three countries. The template changes the look, never the maths.

Invoice template rules by country: tax lines and IDs

Invoice templates differ by country in the tax lines, the tax ID and the legal wording they must show, not in the layout. Any of the 28 designs works anywhere once you add the right fields, and each one is an invoice template with tax set per line, so mixed VAT or GST rates are handled. Rules change, so check with your local tax authority before you rely on any summary, including this one.

United States

There's no federal VAT, so most service invoices show no tax at all. Sales tax is set by each state and applies mainly to goods and some services. US clients expect US Letter paper and Net 30 terms more often than anywhere else; our explainer on net 30 payment terms covers what that means in dates. The IRS says to keep business records for at least three years in most cases, so keep every PDF you send.

United Kingdom

If you're VAT registered, your invoice must show your VAT number, the tax point, and the VAT rate and amount for each line. The standard rate is 20%. If you're not registered, don't add VAT and don't print a VAT number. For a full checklist, read our guide to UK VAT invoice requirements. UK law also lets you claim statutory interest on late B2B payments at 8% plus the Bank of England base rate, which is worth mentioning in your terms.

European Union

EU invoices follow the VAT Directive: a sequential number, both parties' VAT numbers for B2B cross-border sales, and the words "Reverse charge" when the customer accounts for the VAT. The European Commission's page on VAT invoicing rules lists the mandatory details. Some countries, including Belgium and Germany, are moving domestic B2B sales to structured e-invoices, which a PDF is not, so check your country's timeline.

Canada

Show your GST/HST registration number and the tax charged. GST is 5%, and HST is 13% in Ontario and 15% in the Atlantic provinces. Your client needs certain details to claim input tax credits, and the Input Tax Credit Information Regulations set three tiers: under $100, $100 to under $500, and $500 or more, where the buyer's name, payment terms and a description are needed too.

Australia

If you're registered for GST, title the document "Tax invoice", show your ABN and say whether the price includes 10% GST. A registered buyer can ask for a tax invoice for any sale of A$82.50 or more including GST, and from A$1,000 the invoice must also show the buyer's identity or ABN.

India

A GST tax invoice shows your GSTIN, the client's GSTIN for B2B sales, a serial number of up to 16 characters, the HSN or SAC code, the place of supply, and either CGST plus SGST or IGST. The rules sit in the CGST Act and Rules, which the CBIC publishes on its GST Acts page. Our GST invoice format guide walks through a full example.

Bangladesh

VAT-registered businesses issue the VAT invoice known as Mushak-6.3 and show their BIN, with the standard VAT rate at 15%. Freelancers billing overseas clients in USD usually show no VAT. Bangladeshi clients often pay by bKash, Nagad or bank transfer, so print those numbers under How to pay.

What wording should you put on an invoice template?

Put a clear payment instruction, a due date, a late-fee line and a short thank-you on every invoice template. Plain, polite wording gets paid faster than clever wording. An invoice template with payment terms already filled in saves retyping them each month. Copy any of these into the Notes box and edit the details.

Standard payment terms

Payment is due within 14 days, by 19 November 2026. Please quote INV-0031 as the payment reference so we can match it quickly.

Deposit and balance

A 50% deposit of $1,500 was received on 20 October 2026. The balance of $1,500 is due on delivery of the final files.

Late payment (UK B2B)

We may charge statutory interest and compensation on late payment under the Late Payment of Commercial Debts (Interest) Act 1998.

Late fee (US and elsewhere)

Invoices unpaid 15 days after the due date incur a late fee of 1.5% per month on the outstanding balance, as agreed in our contract.

EU reverse charge

Reverse charge: VAT to be accounted for by the recipient under Article 196 of Council Directive 2006/112/EC.

Australian tax invoice

Tax invoice. All prices include GST at 10%.

Thank-you line

Thank you for working with us. If anything on this invoice looks wrong, reply to this email and I'll fix it the same day.

One warning on late fees: only add one you agreed in writing first. A surprise fee on the invoice tends to start an argument rather than end one. If the payment is already late, our guide on how to ask for payment politely has emails for day 1, day 7 and day 21.

How do you make an invoice template with logo and brand colours?

You brand an invoice template by uploading your logo, setting your brand colour and choosing a font, then using that same setup on every invoice. In InvoiceStudio the colour, logo, font and paper size apply to all 28 designs at once.

What I've learned from sending branded invoices:

  • Use your exact hex code. "Close enough" green looks off next to your website. Copy it from your brand guide or logo file.
  • Check the contrast. Pale yellow or light grey text on white is hard to read, especially printed. The W3C contrast guidance asks for a 4.5:1 ratio for normal text, which is a useful test for your accent colour too.
  • Keep the logo small. Around 40 to 60 pixels tall on screen is plenty. The total due should be the biggest thing on the page, not your logo.
  • Pick a paper size by client. A4 for the UK, EU, Australia, India and Bangladesh. US Letter for the US and Canada.
  • Add your signature where it helps. Trades and delivery work benefit from a client signature line. Most service invoices don't need either.
Flowchart for choosing an invoice template in four questions: does the client print invoices, is your brand conservative or creative, do you bill across borders, and do you need a big total, ending at recommended designs such as Minimal, Elegant, Corporate, Aurora, Midnight and Split
Four questions that narrow 28 designs down to the one that suits your client.

What are the most common invoice template mistakes?

The most common invoice template mistakes are a missing due date, a reused invoice number, a typed-in total that doesn't match the lines, and missing payment details. Each one gives a client's accounts team a reason to park your invoice.

  • Leaving the sample text in. I've received invoices still saying "Your Company Name". Read the PDF once before sending.
  • Reusing invoice numbers. Copying last month's file and forgetting to change INV-0041 creates two invoices with one number. Tax authorities expect a unique sequence.
  • Vague line items. "Services, £2,000" gets queried. "Website copy, 5 pages, delivered 28 Oct" doesn't.
  • The wrong legal name. Bill the company that signs the contract, not the brand name on their website. Get the purchase order number too if they use them.
  • Tax on the wrong lines. Mixed-rate invoices need tax per line. A 20% VAT line and a 0% exempt line shouldn't share one tax figure.
  • No payment method. "Pay me" isn't instructions. Print the bank details, PayPal address or bKash number and the reference to quote.
  • Editing a sent invoice. Once it's gone, issue a credit note or a corrected invoice with a new number. Don't quietly change the PDF.

Free invoice template vs invoicing software: when should you switch?

Switch from a free invoice template to invoicing software when you send more than about five invoices a month, bill the same clients on repeat, or lose track of who has paid. Before that point, a good template and a folder of PDFs is enough.

A template gives you a document. Software gives you the work around it. In InvoiceStudio the same 28 designs sit inside a full account. A free account saves up to 10 documents a month with your clients and payment status; the rest depends on the plan:

  • Saved clients and items, so a repeat invoice takes a minute.
  • Recurring invoices for retainers and monthly work (Pro and above).
  • Email with the PDF attached, plus one-click payment reminders that you send yourself (Starter and above).
  • Payment tracking with partial payments, overdue status and a dashboard of money received (every plan).
  • Quotes, estimates, credit notes, purchase orders and delivery notes in the same designs (Pro and above).
  • Reports and CSV export for your accountant (Pro and above).
  • Voice invoicing: the built-in parser handles English and Bangla in the browser, and Pro plans and above add Claude plus ElevenLabs in 20 languages. You say the invoice and it's built.

What it doesn't do: there's no online card checkout and no accounting ledger. Clients pay using the methods you print on the invoice, such as bank transfer, PayPal, Wise or a Stripe payment link you already have. If you need a full ledger, keep your accounting tool and use this for the invoices. Our free invoice app guide explains how to tell which kind of tool you need.

The free plan covers all 28 templates, the PDF download and up to 10 saved documents a month. FAQs

Free invoice template FAQs

Are these invoice templates really free?

Yes. All 28 designs are free, and the tool on this page downloads PDF invoices with no watermark, no card and no signup. A free account saves up to 10 documents a month. Starter at $3 a month adds email sending, and Pro at $7 adds recurring invoices, reports, CSV export and AI voice invoicing. See pricing.

Is there a free invoice template for Word, Excel or Google Docs?

Not on this page. The templates here export as PDF, which is the best format to send because the totals and layout can't shift and the file opens the same in Gmail, Outlook and on a phone. If your bookkeeper wants a spreadsheet, the Pro plan exports your invoices as CSV. For Word, Excel and Google Docs versions, our guide to invoice templates in Word, Excel and Google Docs covers each format.

Which invoice template is the most professional?

For most B2B clients, Classic, Corporate or Elegant read as the most professional because they are calm and easy to scan. Elegant suits consultants and lawyers, Corporate suits trades and agencies, and Minimal suits anyone who wants a black-ink look. Professional is mostly about complete details, though: a clear number, due date and payment instructions matter more than the design.

Can I add my logo to a free invoice template?

Yes. In the free account editor you can upload your logo, set your brand colour and pick a font, and all 28 designs use them. The quick tool on this page lets you set the design and brand colour straight away, so you can see how your colour looks on each template before you sign up.

What is the minimum a simple invoice template needs?

At minimum: the word Invoice, a unique invoice number, the issue and due dates, your name and contact details, your client's name and address, a description of each item with quantity and price, any tax, the total due and how to pay. Add your tax number if you're registered for VAT, GST or sales tax. Our invoice format samples show each part.

Can I use these templates for quotes and estimates?

Yes. On the Pro plan and above, the same 28 designs work for quotes, estimates, credit notes, purchase orders and delivery notes. Your branding stays the same across every document, and you can turn an accepted quote into an invoice without retyping the line items.

Do invoice templates need to be different in each country?

The layout doesn't, but the details do. UK and EU invoices need VAT numbers and rates when you're registered, Australian ones need an ABN and the words Tax invoice, Indian GST invoices need GSTINs and HSN or SAC codes, and Canadian ones need a GST/HST number. Any of the 28 designs can carry these fields. Check the rules with your local tax authority.
