Why use InvoiceStudio as your small business invoicing software?

An invoice in two minutes

Pick a saved customer, add items from your price list and download the PDF. No setup wizard, no chart of accounts, no training.

Quotes that become invoices

On Pro and above, send a quote or estimate first, then turn it into an invoice when the customer says yes. The numbers carry over, so nothing gets retyped.

Tax done right on every line

Set sales tax, VAT or GST per line, add discounts and shipping, and add fee rows for card processing. The totals are worked out for you.

See who has paid

Record full or partial payments, spot overdue invoices at a glance and check money received on the dashboard. Export a CSV for your accountant.

Polite chasing in one click

Email the invoice with the PDF attached and send a reminder when it is late. Recurring invoices handle the customers you bill every month.

Priced for a small business

Start free. Paid plans run from $3 to $29 a month, with yearly and lifetime options, so you are not paying accounting-suite prices just to send invoices.

03 · How it works

How to invoice your small business customers (3 steps)

  1. Step 1

    Add your business once

Enter your business name, address, tax number and logo, and choose a template and brand colour. Every invoice after this uses them.

  2. Step 2

Fill in the customer and the items

Use the customer's legal name and billing email, list each product or service with quantity and price, and set the tax rate for each line.

  3. Step 3

Send it and track the payment

Set a real due date, print your payment methods under How to pay, and email the PDF. Mark it paid, or part paid, when the money lands.

  12. FAQs

Invoicing software for small business is a tool that turns a sale into a correct, branded invoice, adds the right sales tax, VAT or GST, sends it to your customer and tells you whether you have been paid. The generator above does the invoice part for free. This guide covers the rest: whether you need invoicing or accounting software, what it should cost, five worked invoices from real kinds of small business, the tax notes for seven countries and the exact wording I use to get paid on time.

I have invoiced for a one-person design shop, a family catering business and a cleaning company with 14 staff. The thing that slowed payment was never the price. It was a missing PO number, a total that did not match the quote, or a due date nobody could find.

What is invoicing software for small business?

Invoicing software for small business is an app that creates quotes and invoices, calculates tax, sends them as PDFs and tracks payments, without the full bookkeeping of an accounting package. People also call it invoice software, billing software or invoice management software. Whatever the name, it sits between a Word template and an accounting suite. You get saved customers, a price list, numbered invoices and a list of who owes you what.

A bakery, a plumber, a tutor, a cleaning company or a print shop sends perhaps 10 to 200 invoices a month. They need each one to be right and to go out fast. They rarely need double-entry journals, depreciation schedules or a chart of accounts with 140 lines. Your accountant has those tools already.

Online invoicing software runs in the browser, so you can send an invoice from the van, the counter or the kitchen table, on a phone as easily as on a laptop. Some tools, including InvoiceStudio, also let you create an invoice by voice. The free tool understands English and Bangla; Pro and above add Claude and ElevenLabs in 20 languages. You say "Invoice Daniel Brooks for a hot water unit, 1,950 dollars, plus four and a half hours labour at 110" and the draft is built for you to check.

Invoicing vs accounting software: which does a small business need?

You need invoicing software if your main job is billing customers and chasing payment. You need accounting software when you also have to reconcile bank accounts, run payroll, track stock or file returns yourself. Many small businesses start with the first and add the second, or a bookkeeper, later.

My rule of thumb: if your accountant does your books at year end or each quarter, invoicing software plus a CSV export is enough. If you pay staff through the system, hold stock or have a loan to report on, look at an accounting suite. I would not pay for bank feeds just to send 20 invoices a month.

Most small businesses need fast, correct invoices and a clear view of who has paid, not a full ledger.

What features should small business billing software have?

Good small business invoicing software should do eight things well: quotes, branded invoices, tax per line, several currencies, payment methods on the invoice, payment tracking, reminders and export. Everything else is a bonus. Here is what each means in practice.

  1. Quotes and estimates. You quote £1,480 for a month of cleaning, the customer agrees, and the quote becomes the invoice with the same lines. No retyping, no mismatched totals.
  2. Branded invoices. Your logo, colour and font on every PDF, in A4 or Letter. Pick from free invoice templates that suit your trade, whether that is a calm Classic layout for a clinic or a bold gradient for a gift shop.
  3. Tax per line. Some items are taxed and some are not. A plumber may charge GST on parts and labour; a bakery's catering may be taxed while a whole cake for takeaway may not be. The software must let you set tax for each line.
  4. Currencies. A small business in Leeds with one customer in Dublin needs EUR invoices sometimes. InvoiceStudio handles 14 currencies plus any custom one; see multi-currency invoicing for the details.
  5. Payment methods printed on the invoice. Bank details, a Stripe or PayPal link, Wise, bKash, Nagad or cash. Customers pay faster when the "How to pay" box answers their question before they ask it.
  6. Payment tracking. Mark invoices as paid or part paid, see overdue status, and check money received on a dashboard. This is your accounts receivable list without a spreadsheet, and good invoice tracking software puts overdue invoices at the top.
  7. Reminders and recurring invoices. Monthly customers get a recurring invoice. Late ones get a polite reminder you send in one click from invoice reminders.
  8. Reports and CSV export. Your accountant wants a list of invoices, dates, tax and payments. A CSV export saves an hour every quarter.

Features I would not pay extra for at the start: complex user permissions, inventory modules you will not use, and "AI insights" dashboards. Features worth paying a few dollars for: saved customers, recurring invoices and payment tracking, because they save time every single week.

Invoicing software pricing for small businesses: what you will pay

Invoicing software for a small business costs between nothing and about $30 a month for most invoicing-only tools, while accounting suites with invoicing built in usually cost more. Affordable invoicing software with a real free plan exists, and billing software for small business use rarely needs to cost more than a few dollars a month. The real cost is often in payment fees, not the software. Here is InvoiceStudio's pricing, plus the other costs.

PlanPriceGood for
Free$0Trying it out: 10 documents and 10 saved customers a month, PDF download
Starter$3 a monthA sole trader sending invoices every week: unlimited invoices, emailing and reminders
Pro$7 a monthQuotes and estimates, recurring invoices, reports, CSV export and AI voice
Business$10 a monthEverything in Pro, for a small team billing many customers
Enterprise$29 a monthHigher volume and the full feature set

Yearly and lifetime options, and the exact plan limits, are on the pricing page. Two other costs matter more than the subscription.

  • Card processing fees. If customers pay through a card link, the processor takes a cut. Stripe publishes its standard rates on its pricing page. On an $863 catering order, a few percent is real money, so many small firms push bank transfer and offer card as the second option.
  • Your time. If building and chasing invoices takes you three hours a week and software cuts it to one, that is over 100 hours a year back.

The US Small Business Administration's guide to managing your finances makes the same point: steady cash flow keeps a small business alive, and prompt invoicing drives it.

Checklist of ten things small business invoicing software must do: quotes that convert to invoices, branded PDF templates, tax per line for sales tax VAT or GST, several currencies, payment methods printed on the invoice, partial and full payment tracking, overdue status, one-click reminders, recurring invoices and CSV export, with a price check of free to 3 dollars a month to start

How to set up invoicing for a small business in 30 minutes

You can set up invoicing for a small business in about 30 minutes: add your business details, build a short price list, save your top customers, choose payment terms and send a test invoice to yourself. Do it once properly and every invoice after takes two minutes.

  1. Business details (5 minutes). Legal name, trading name if different, address, email, phone, and your tax number if you have one: EIN or sales tax permit in the US, VAT number in the UK or EU, ABN in Australia, GST/HST number in Canada, GSTIN in India, BIN in Bangladesh.
  2. Branding (5 minutes). Upload your logo, set your brand colour and font, and choose A4 or Letter. Pick one template and stick with it so customers recognise your invoices.
  3. Price list (10 minutes). Add your 10 most common products or services with a clear description, unit and price. "Call-out fee, $90" beats "Misc".
  4. Customers (5 minutes). Save your regular customers with the legal company name and the accounts email, not just the person you deal with.
  5. Terms and payment methods (3 minutes). Choose your default terms, such as Net 7 or Net 15, and add the payment methods you accept. Unsure what "Net 15" means? Read Net 30 payment terms explained.
  6. Test (2 minutes). Send an invoice to your own email. Open the PDF on your phone. Check that the total, the tax and the bank details are right.

Start your numbering somewhere sensible, such as INV-2026-001, and never reuse a number. Tax authorities in the UK, EU and India expect a unique, sequential invoice number.

Small business invoice examples you can load and edit

Below are the five examples loaded in the tool above, with the maths written out. Each one shows a rule that trips up small businesses in that country. Click an example in the tool to load it, then change the names and prices.

1. US bakery: a catering order with sales tax ($863.38)

Hudson Street Bakery in Brooklyn caters a breakfast for 40 people at an office in Manhattan. The lines are 40 covers at $14.50 ($580), six coffee boxes at $28 ($168) and delivery at $45. The subtotal is $793. New York City's combined sales tax rate is 8.875%, which adds $70.38, for a total of $863.38.

Two details make this invoice get paid quickly. The client's PO number, FL-2290, sits in the notes, because a company of that size will not pay without it. And the invoice goes to ap@ferrouslabs.com, the accounts payable inbox, not to the office manager who placed the order. Sales tax rules for food and catering differ by state, so check yours.

2. UK cleaning company: a monthly service invoice with VAT (£1,776)

Brightwash Cleaning bills a physio clinic for 20 evening visits at £65 (£1,300) and a one-off deep clean at £180. The subtotal is £1,480. VAT at 20% is £296, so the total is £1,776. Because Brightwash is VAT registered, the invoice shows its VAT number and the VAT amount, as GOV.UK's rules on what an invoice must include require.

This is a perfect recurring invoice. Set it up once for the 1st of the month and only edit it when there is an extra job like the deep clean.

3. Australian plumber: a tax invoice with GST (A$2,788.50)

Coastline Plumbing replaces a hot water unit: the unit at $1,950, 4.5 hours of labour at $110 ($495) and a $90 call-out fee. The subtotal is $2,535, GST at 10% is $253.50, and the total is $2,788.50. In Australia a GST-registered business must issue a "tax invoice" when asked, so the words Tax invoice and the ABN appear on it. I would always print them anyway.

4. Indian IT support firm: a GST invoice with CGST and SGST (₹24,190)

Sharma Tech Solutions in Pune bills a dental clinic for an annual maintenance contract on 12 PCs at ₹1,500 each (₹18,000) and router setup at ₹2,500. The subtotal is ₹20,500 and GST at 18% is ₹3,690, for ₹24,190. Both businesses are in Maharashtra, so the GST is split into CGST 9% (₹1,845) and SGST 9% (₹1,845). If the clinic were in Karnataka, it would be IGST 18% instead. Both GSTINs, the SAC code and the place of supply go on the invoice. The full rules are in our GST invoice format guide.

5. Bangladeshi gift shop: a corporate order paid by bKash (৳58,500)

Shonar Tori Gifts in Dhanmondi supplies 30 corporate gift hampers at ৳1,850 (৳55,500), 30 custom stickers at ৳60 (৳1,800) and delivery at ৳1,200, for ৳58,500. The client paid a ৳25,000 advance, so the note says so and the balance of ৳33,500 is due on delivery. bKash and Nagad merchant numbers are printed under How to pay, and the note asks the client to email the transaction ID, which makes matching the payment far easier.

What must a small business invoice include in each country?

Every small business invoice should include your business name and address, the customer's name, a unique invoice number, the date, a description of what you sold, the amounts and the total due. Tax-registered businesses must add their tax number and the tax amount. The rest depends on where you trade.

  • United States. There is no federal invoice format. Sales tax is set by states and cities, so the sales tax on invoice lines depends on where the sale happens and what you sell. Keep copies of invoices and receipts as the IRS recordkeeping guidance explains; the IRS generally expects records to be kept for at least three years.
  • United Kingdom. Sole traders and limited companies have set fields to show, and a limited company must show its registered name. You must register for VAT once your taxable turnover passes the threshold on GOV.UK's VAT registration page. For late payers, the late commercial payments rules let you claim statutory interest and a fixed sum of compensation from business customers.
  • European Union. VAT invoices need a sequential number, both VAT numbers for B2B cross-border sales, and the reverse-charge wording when the customer accounts for VAT. The European Commission VAT invoicing rules list every mandatory field.
  • Canada. GST/HST-registered businesses show their registration number, and the details required on the invoice grow with the size of the sale. Rates differ by province: 5% GST in Alberta, 13% HST in Ontario. Check the current rules with the CRA.
  • Australia. GST is 10%. Registered businesses must provide a tax invoice when the customer asks for one on a taxable sale over A$82.50, and sales of A$1,000 or more need the buyer's details too. Check the ATO's tax invoice page.
  • India. GST invoices need your GSTIN, the customer's GSTIN for B2B sales, HSN or SAC codes, the place of supply and the CGST/SGST or IGST split. Larger businesses also have e-invoicing duties.
  • Bangladesh. VAT-registered businesses issue the Mushak 6.3 tax invoice and show their BIN. Smaller businesses below the VAT threshold often issue a simple invoice, but check your status with the NBR or your tax adviser.

Tax rules change. Treat this list as a starting point and confirm the current rate and required fields with your tax authority or accountant before you rely on them.

How to get paid faster: copy-paste invoice wording

You get paid faster by putting a real due date on the invoice, making payment easy and following up on a schedule. Wording matters. Here is what I paste into invoices and emails, word for word.

Invoice note for new customers

Thank you for your business. Payment is due by 20 November 2026. Please pay by bank transfer using the details below and quote invoice INV-2026-041 as the reference. Questions about this invoice? Email accounts@yourbusiness.com and we will reply the same day.

Email when you send the invoice

Hi Priya, please find attached invoice HSB-2026-0412 for $863.38 for the breakfast catering on 4 November. It is due on 19 November. You can pay by ACH or with the card link in this email. Thanks again for the order.

Friendly reminder, 3 days before the due date

Hi Hannah, a quick reminder that invoice BW-1187 for £1,776 is due on Friday 14 November. If it is already on its way, thank you and please ignore this. The PDF is attached again for convenience.

Overdue reminder, 7 days late

Hi Daniel, invoice CP-00894 for $2,788.50 was due on 12 November and is now 7 days overdue. Could you let me know when payment will be made? Bank details are on the attached invoice. If there is a problem with the work or the invoice, tell me and I will sort it out.

Final notice, 30 days late

Hi Meera, invoice STS/26-27/0158 for ₹24,190 is now 30 days overdue. Please arrange payment by 20 December. After that date, we will pause the maintenance contract until the account is settled. I would much rather keep working together, so please call me if anything is holding this up.

For a longer set of templates by tone and stage, read how to send an invoice. And keep reminders polite. Most late payers are disorganised, not dishonest.

What mistakes do small businesses make with invoicing?

The most common invoicing mistakes are vague line items, missing tax details, no real due date, sending the invoice to the wrong person and waiting too long to send it. Each one adds days to your payment time. Here are the ones I see most.

  • Invoicing late. Send the invoice the day the job is done. A week's delay at the start becomes a week's delay at the end.
  • "Services rendered" as the only line. Say what you did, when and how much: "Clinic cleaning, November 2026, 20 visits at £65".
  • Terms without a date. "Net 15" makes the customer do maths. "Due 19 November 2026" does not.
  • Wrong recipient. Larger customers pay from an accounts inbox. Ask for it when you take the order.
  • Missing PO numbers. If a customer issues purchase orders, an invoice without the PO number may sit unpaid until you resend it.
  • Tax mistakes. Charging VAT before you are registered, or forgetting your tax number once you are, both cause problems. Check before your first invoice.
  • No follow-up. If you do not chase, many customers will not pay on time. A reminder on the due date is normal business.

Best invoice software for small business: how to choose

The best invoicing software is the one that fits how you bill. Choose by asking five questions: how many invoices you send, how your customers pay, which taxes you charge, who else needs the data and what you can spend. Your answers usually point to one clear option.

  1. How many invoices a month? Under five, the free invoice generator is fine. Ten or more, you want saved customers and payment tracking.
  2. How do customers pay? If most pay by bank transfer, you need clear bank details on the invoice. If they insist on card, plan for a payment link and its fees.
  3. Which taxes do you charge? One rate is easy. Several rates, exempt items or cross-border sales need tax per line.
  4. Who else uses the data? If your accountant is happy with a CSV, an invoicing tool is enough. If they want live access to your ledger, use an accounting suite.
  5. What is your budget? A few dollars a month for invoicing, or more for full bookkeeping. Do not pay for features you will not touch for a year.

If you work in a trade, the contractor invoice generator has examples with labour, materials and deposits. If you are weighing several free apps, our free invoice app guide compares what to look for. FreshBooks, Wave and QuickBooks lean toward bookkeeping as well as invoicing, so check their current pricing pages against what you actually need. And if you are currently on Zoho Invoice and want to compare, see the Zoho Invoice alternative page.

Is InvoiceStudio billing software or accounting software?

InvoiceStudio is invoicing software, not an accounting system. It is built for small businesses that want fast, correct invoices and a clear view of who has paid. Being clear about the limits saves you a wasted afternoon.

What it does today: 28 templates with your logo, colour and font; quotes, estimates, credit notes, purchase orders and delivery notes; 14 currencies plus custom ones; tax, discounts, shipping and fee rows; payment methods printed on the invoice; your signature and your customer's; recurring invoices; emailing with the PDF attached and reminders; partial and full payment tracking with overdue status; reports and CSV export or import; and voice invoicing in 20 languages, including Bangla. Emailing and reminders start on Starter; quotes, recurring invoices, reports, CSV and the 20-language AI voice start on Pro.

What it does not do: there is no accounting ledger, no bank feeds, no payroll and no online card checkout. A client portal is on the early access list, not live. Customers pay you directly using the methods you print on the invoice.

For most shops, trades and local services, that is the right trade-off. Start with a generator that needs no signup, browse the 28 invoice templates, or read how to make an invoice and the rest of the InvoiceStudio blog.

FAQs

Frequently asked questions

What is the best invoicing software for a small business?

The best one is the one that matches how you bill. If you mainly send quotes and invoices and need to see who has paid, a focused tool like InvoiceStudio covers it free or from $3 a month. If you also want bank feeds, payroll and a full ledger in one place, an accounting suite such as QuickBooks Online or Xero suits you better, at a higher monthly price.

Is there free invoicing software for small business?

Yes. InvoiceStudio's free invoice generator lets you create and download a branded PDF invoice with no signup. A free account adds up to 10 saved customers and 10 documents a month. Starter ($3 a month) adds unlimited invoices and email sending; Pro ($7) adds quotes, recurring invoices, reports and AI voice.

Do I need accounting software as well as invoicing software?

Not always. Many sole traders and small shops send invoices from an invoicing tool and give their accountant a CSV export at month or quarter end. Once you have payroll, stock, loans or several bank accounts to reconcile, proper accounting software or a bookkeeper becomes worth it.

Is invoice software the same as billing software?

Mostly, yes. Invoice software, invoicing software and billing software all create invoices, send them and track payment. "Billing software" sometimes means a tool that charges cards automatically on a subscription. InvoiceStudio does not do that: it sends invoices, including recurring invoices, that customers pay using the methods printed on them.

How much does invoicing software cost?

Prices range from free to well over $50 a month. InvoiceStudio is free to start; Starter is $3 a month, Pro $7, Business $10 and Enterprise $29, with yearly and lifetime options. Accounting suites that include invoicing usually cost more because they bundle bookkeeping.

Can customers pay the invoice by card?

InvoiceStudio does not run card checkout. You can print a Stripe or PayPal payment link under How to pay, next to bank transfer, Wise, bKash or cash details, and the customer pays you directly. If you add a card fee, label it clearly and check that surcharges are allowed where you trade.

Can I send recurring invoices to regular customers?

Yes, on Pro and above. Set up a recurring invoice once for a monthly cleaning contract, rent, a retainer or a subscription, and it repeats on your schedule. You can still edit the amount for any month before it goes out.

How do I add sales tax, VAT or GST to an invoice?

Set the tax rate on each line, for example 8.875% for New York City sales tax, 20% UK VAT, 10% Australian GST or 18% Indian GST. InvoiceStudio works out the tax and the total. Show your tax registration number when the law requires it, and check the rate with your tax authority.
