Invoice Format: Free Samples and Examples for Every Business
A labelled invoice format, eight text sample invoices with real totals, and the extra fields each country needs, from US sales tax to India GST.

A standard invoice format shows the word "Invoice", a unique invoice number, the invoice and due dates, your business details and tax ID, the client's name and address, line items with quantity and unit price, the subtotal, discounts, tax per rate, the total due with currency, and clear payment instructions.

An invoice format is the fixed layout of fields that turns a page into a payment request: who is billing, who is paying, a unique invoice number, the invoice date, line items, tax, the total and how to pay. Get those fields in the right order and clients pay without a single follow-up email. Miss one, and the invoice sits in somebody's accounts payable queue marked "query".
I have sent a few hundred invoices, from $90 logo tweaks to five-figure retainers, and almost every payment delay came back to the format, not the client. A missing PO number. A total that did not match the line items because I edited a Word file at midnight. This guide is the page I wish I had on day one: a labelled anatomy of a professional invoice, then eight full sample invoices written out as text with real numbers that add up, then the rules for the US, UK, EU, Canada, Australia, India and Bangladesh.
Every sample below is plain text, not a screenshot, so you can copy the wording straight into one of our invoice templates or into our free invoice generator.
What is an invoice format?
An invoice format is the standard structure an invoice follows: a header that identifies the document and the seller, a block for the buyer, a table of line items, a totals section with tax, and a footer with payment terms. The format decides what information appears and in what order, so the reader can find the amount and the due date in under ten seconds.
People use "invoice format" to mean three slightly different things, and it helps to separate them:
- The field list. What an invoice must include to be valid and payable. This is the legal and practical part, and it changes by country.
- The invoice layout. How those fields are arranged on the page: where the logo sits, how the line items table is laid out, where the total goes.
- The file type. Word, Excel, Google Docs, PDF or an invoice app. This is about how you build and send it.
The first one matters most. A beautiful layout with a missing tax ID is still a rejected invoice. If you are brand new to billing, read what an invoice is and how it differs from a receipt first, then come back here for the structure.
What should an invoice include? (field-by-field anatomy)
Every invoice should include the word "Invoice", a unique invoice number, the invoice date, your business name and contact details, the client's name and address, a description of each item with quantity and price, the subtotal, any tax, the total due, the due date and payment instructions. Those eleven items cover the invoice requirements in almost every country. Tax registrations and a few local extras sit on top.
Here is the anatomy, top to bottom, the way a well-built professional invoice template lays it out.
1. Document title
Write "Invoice" at the top, in large type. If you are registered for VAT or GST in a country that requires it, the title changes: Australia wants the words "Tax invoice", and India's GST rules call it a "Tax Invoice" as well. A quote, proforma or credit note must say so in the title, because accounts teams sort documents by that word.
2. Invoice number
Each invoice needs a unique number that never repeats. Sequential is safest, and the EU requires a sequential number for VAT invoices. A format like INV-2026-041 tells you the year and the order at a glance. I cover the options in detail in the invoice number format guide.
3. Invoice date, supply date and due date
The invoice date is the day you issue it. The supply date (sometimes called the tax point or date of service) is when the work was done or the goods were delivered, and in the UK and EU it must be shown when it differs from the invoice date. The due date is the line people actually read. Write the date itself, "Due 3 December 2026", and not only "Net 30", because nobody wants to count days. The net 30 guide shows how to work the dates out.
4. Seller details
Your legal or trading name, address, email and phone. Add your logo if you have one. If you are registered for tax, put the registration number here: VAT number, GSTIN, ABN, GST/HST number or BIN. UK limited companies must use the full registered company name.
5. Bill-to block
The client's legal name, the contact person and their billing address. For B2B work in the EU, India or Australia above certain amounts, add the client's tax ID too. Use the name on their contract, not the brand name on their website. "Brightline" and "Brightline Coffee Co. LLC" can be two different entities to an accounts department.
6. Reference or PO number
If the client gave you a purchase order number, project code or cost centre, print it near the top. Larger companies auto-reject invoices without a matching PO. This single field has cost me more waiting time than any other.
7. Line items
Line items are the rows that list what you are charging for. Each one needs a description, quantity, unit (hours, pieces, days, months), unit price and line amount. Write descriptions a stranger in finance can understand: "Homepage copywriting, 1,200 words, approved 28 Oct" beats "Copy".
8. Subtotal
The sum of all line amounts before discount, tax and shipping.
9. Discount
Show discounts as their own line with a minus sign, either per line or on the whole invoice. "Trade discount 5%: -$72.00" is clear. Hiding the discount inside a lower unit price makes the client forget they got one.
10. Tax lines
One line per tax rate: sales tax, VAT, GST, HST, CGST and SGST, or IGST. Show the rate and the amount. If an item is zero-rated or exempt, say so on the line.
11. Total due
The biggest number on the page, with the currency code: "Total due: USD 1,525.86". If a deposit was paid, show it as a deduction and label the remainder "Balance due".
12. Payment terms and how to pay
Due date, accepted payment methods with the details needed to pay (bank account, PayPal email, Wise details), late-fee terms if you use them, and a short thank-you. A signature line is optional in most countries but expected on GST invoices in India.
Quick test: hand your invoice to someone who has never heard of the project. If they can tell you who owes what, by when and how to pay it in 10 seconds, your invoice format works.

Sample invoice: a simple service invoice with real numbers
A simple service invoice lists the work done, the hours or project fee for each piece, any deposit already paid and the balance due. Here is a sample invoice for a freelance designer in the US billing a coffee company after a branding project with a $1,000 deposit taken up front.

Payment: Bank transfer (ACH) to account ending 4471, or PayPal to maya@example.com. Please quote INV-2026-041.
Three things make this invoice example work. The deposit is shown openly, so the client's books match. The extra revision hours are a separate line, which stops the "why is this more than the quote?" email. And the PO number sits right under the dates. Sales tax is $0 here because many US states do not tax design services, but some states do, so check your state's rules before you copy that line. If you want the full step-by-step for building one, the how to make an invoice guide walks through it. Billing by the day rather than per project? A consulting invoice template uses the same layout with day-rate lines, and these services invoice examples cover hourly, retainer and milestone billing.
Invoice example for selling products (quantity, unit and shipping)
A product invoice needs a quantity and unit for every item, a unit price, any trade discount, sales tax and shipping as separate lines. The arithmetic order matters: discount first, then tax on the discounted amount, then shipping. Here is a ceramics studio selling to a café.
INVOICE No. HC-1187 · Date: 5 November 2026 · Due: 20 November 2026 (Net 15)
From: Hearth & Clay Studio, 18 Kiln Rd, Austin, TX 78702
Bill to / Ship to: Willow Street Café, 402 Willow St, Austin, TX 78704
| Item | Qty | Unit | Unit price | Amount |
|---|---|---|---|---|
| Stoneware mug, 12 oz, oat glaze | 48 | pcs | $14.00 | $672.00 |
| Dinner plate, 10 in | 24 | pcs | $22.50 | $540.00 |
| Serving bowl, large | 6 | pcs | $38.00 | $228.00 |
| Subtotal | $1,440.00 | |||
| Trade discount 5% | -$72.00 | |||
| Taxable amount | $1,368.00 | |||
| Sales tax 8.25% | $112.86 | |||
| Shipping and packing | $45.00 | |||
| Total due (USD) | $1,525.86 |
Check the maths: 48 × $14 = $672, 24 × $22.50 = $540, 6 × $38 = $228, which gives $1,440. Five percent off is $72, leaving $1,368. Tax at 8.25% is $112.86. Add $45 shipping and you get $1,525.86. I have left the $45 untaxed to keep the arithmetic easy to follow, but treat that as a simplification. Texas counts delivery charges on taxable goods as part of the taxable sale, so a real invoice from this Austin studio would add $3.71 of tax on the shipping line. Other states, California among them, generally do not tax separately stated shipping by common carrier. Check your own state's rule, and keep shipping on its own line either way so the client's bookkeeper can see it.
The unit column is the field most product sellers skip, yet "24 boxes" and "24 pieces" are very different orders.
Invoice format with VAT, GST or sales tax
A tax invoice format adds your tax registration number, the tax rate and tax amount for each rate, and the net and gross totals, and in some countries the buyer's tax number. Sales tax in the US is simpler: one line with the rate and the amount. VAT and GST invoices carry more fields because the buyer uses them to reclaim tax.
Tax invoice template: the fields to add
Any tax invoice template starts from the standard layout and adds five things: the heading "Tax invoice" or "VAT invoice", your tax registration number, the buyer's tax number for business sales, a tax rate column on each line, and a tax summary that splits net, tax and gross by rate. Build those into one template once and you never have to remember them again.
Here are three tax invoice samples that show how the same structure bends to local rules.

HMRC's VAT Notice 700/21 lists what a full VAT invoice must show: a unique sequential number, the time of supply, your VAT number, the unit price, the rate of VAT for each item, and the total VAT in sterling. It also allows a simplified invoice for sales of £250 or less including VAT. Notice how the zero-rated booklets get their own rate line. Mixing rates into one VAT figure is the fastest way to get a VAT invoice bounced. The full UK rules are in the VAT invoice requirements guide.
India GST tax invoice sample

Because the supplier and recipient are both in Karnataka, the 18% GST splits into 9% CGST and 9% SGST. If the client were in Maharashtra, the same invoice would show a single line, IGST 18% = ₹18,000, and the place of supply would read Maharashtra (27). The invoice number can be up to 16 characters and must be unique for the financial year. Businesses above the e-invoicing turnover limit (currently ₹5 crore) also need an IRN and QR code from the GST portal. The rules live in the CGST Act and Rules on the CBIC GST site, and the field-by-field version is in our GST invoice format guide.
Australian tax invoice sample
TAX INVOICE No. CB-2026-114 · Date: 2 November 2026 · Due: 16 November 2026

| BAS preparation, Q1 FY2026-27 | 1 | $450.00 | $45.00 | $495.00 |
| Totals (AUD) | $1,400.00 | $140.00 | $1,540.00 |
Australia's GST is 10%. A tax invoice must say "Tax invoice", show the seller's identity and ABN, the date, what was sold and the GST amount (or a statement that the total includes GST). Because this sale is $1,000 or more, it must also show the buyer's identity or ABN. If you are registered for GST and a customer asks for a tax invoice on a sale over $82.50 including GST, you must give them one within 28 days. The ATO's tax invoice pages carry the current wording and thresholds.

Bill format vs invoice format: is there a difference?
A bill and an invoice are the same document seen from two sides: the seller sends an invoice, and the buyer receives a bill. The bill format and invoice format use the same fields. In everyday usage, "bill" also means a quick request for payment at the point of sale, like a restaurant bill, which is paid on the spot and usually has fewer fields.
In India and Bangladesh, "bill format" is a very common search, and people usually mean a simple invoice for shops and traders, sometimes called a bill book or cash memo. Under GST, a registered business making a taxable supply still needs to issue a proper tax invoice; a "bill of supply" is the version used for exempt supplies or by composition-scheme dealers, and it carries no tax line.
Here is how the documents people mix up compare:
| Document | Who sends it | When | Asks for payment? | Key fields that change |
|---|---|---|---|---|
| Quote / estimate | Seller | Before work | No | Validity date, "Quote" title, no due date |
| Proforma invoice | Seller | Before delivery | Sometimes (advance) | "Proforma" title, validity, often Incoterms |
| Invoice / tax invoice | Seller | After supply | Yes | Invoice number, due date, tax lines |
| Bill | Seller (buyer calls it a bill) | After supply or at sale | Yes | Same as invoice, often shorter |
| Credit note | Seller | After a return or error | No (reduces amount) | Original invoice number, negative amounts |
| Receipt | Seller | After payment | No | Payment date, method, "Paid" |
| Purchase order | Buyer | Before supply | No | PO number, buyer's approval |
Proforma invoice sample
A proforma invoice is a preliminary invoice that tells the buyer exactly what an order will cost before it ships, often so they can arrange an advance payment, a letter of credit or an import licence. It is not a tax invoice and should not be entered in your sales ledger. Here is an export example from Bangladesh.
PROFORMA INVOICE No. PI-DK-2026-019 · Date: 1 November 2026 · Valid until: 1 December 2026
Seller: Meghna Knit Apparels, Gazipur, Dhaka, Bangladesh · BIN 000000000-0000 (example)
Buyer: Nordlicht Textil GmbH, Hamburg, Germany
Terms: FOB Chattogram · 30% advance by bank transfer, balance against documents
| Description | HS code | Qty | Unit price | Amount |
|---|---|---|---|---|
| Cotton crew-neck T-shirt, knitted, sizes S to XL | 6109.10 | 500 pcs | $4.80 | $2,400.00 |
| Screen print, 2 colours, chest logo | 500 pcs | $0.60 | $300.00 | |
| Total FOB value (USD) | $2,700.00 | |||
| Advance required to confirm order (30%) | $810.00 |
Once the goods ship, the seller issues a commercial invoice with the final quantities and the advance deducted. The differences are covered in proforma invoice vs commercial invoice.
Credit note sample
A credit note reduces or cancels an invoice you already issued. You never edit or delete the original invoice; you issue a credit note that points to it. Say the café from the product example returned 4 mugs that arrived chipped and 2 plates.
CREDIT NOTE No. CN-0023 · Date: 12 November 2026
Against invoice: HC-1187 dated 5 November 2026
Reason: Damaged in transit, returned
| Item | Qty | Unit price | Amount |
|---|---|---|---|
| Stoneware mug, 12 oz | 4 | $14.00 | -$56.00 |
| Dinner plate, 10 in | 2 | $22.50 | -$45.00 |
| Subtotal | -$101.00 | ||
| Trade discount 5% reversed | +$5.05 | ||
| Sales tax 8.25% on -$95.95 | -$7.92 | ||
| Total credit (USD) | -$103.87 |
The café now owes $1,525.86 minus $103.87, which is $1,421.99. The original discount and tax are reversed in proportion, so the books balance exactly. More on this in credit memo vs credit note.
Monthly retainer invoice sample (Canada, HST)
A retainer invoice bills a fixed monthly fee for an agreed scope, plus any extra work as separate lines. It usually goes out at the start of the billing period. Here is an Ontario agency billing an Ontario client, so 13% HST applies. It follows the same structure as our marketing agency invoice template.
INVOICE No. FN-2026-12 · Date: 1 December 2026 · Due: 15 December 2026 (Net 15)
Billing period: 1 to 31 December 2026
From: Fieldnote Marketing Inc., Toronto, ON · GST/HST no. 123456789 RT0001 (example)
Bill to: Lakeview Dental Group, Mississauga, ON
| Description | Qty | Unit price | Amount |
|---|---|---|---|
| Social media management retainer, December | 1 month | $1,800.00 | $1,800.00 |
| Ad campaign setup, outside retainer scope | 3 hours | $95.00 | $285.00 |
| Subtotal | $2,085.00 | ||
| HST 13% | $271.05 | ||
| Total due (CAD) | $2,356.05 |
For a retainer, the billing period line matters most, because the same amount appears every month. In Invoice Studio you can set this up once as a recurring invoice and it goes out on the 1st with the PDF attached.
Invoice format by country: US, UK, EU, Canada, Australia, India and Bangladesh
The core invoice format is the same everywhere, but each country adds its own tax ID, tax name and a few mandatory extras. The US has no federal invoice format at all, while the EU, India and Australia spell out required fields in law. Use the table below as a checklist, then confirm with your tax authority, because thresholds and rates change. If you bill across borders, our guide to invoicing international clients covers currency and reverse charge.
| Market | Tax and standard rate | Seller ID on invoice | Extras you must add | Official source |
|---|---|---|---|---|
| United States | State and local sales tax (no federal VAT) | None required | No federal format; show sales tax where you collect it | IRS record keeping |
| United Kingdom | VAT 20% (5% and 0% rates too) | VAT number if registered | Supply date, VAT per rate, total VAT in GBP; company name rules | gov.uk |
| European Union | VAT 17% to 27% by country | VAT ID | Sequential number, buyer VAT ID for reverse charge, "Reverse charge" wording | European Commission |
| Canada | GST 5%, or HST 13% to 15% | GST/HST number (BN + RT) | More detail at $100 and again at $500; buyer name at $500+ | CRA / Justice Laws SOR/91-45 |
| Australia | GST 10% | ABN | Words "Tax invoice"; buyer ID or ABN at $1,000+ | ATO |
| India | GST, mainly 5% or 18% | GSTIN | HSN/SAC, place of supply, CGST + SGST or IGST, signature | CBIC (CGST Rules) |
| Bangladesh | VAT 15% standard | BIN | Mushak 6.3 tax invoice for VAT-registered sellers | National Board of Revenue |
United States
The IRS does not prescribe an invoice format. Invoices are supporting records for your income and expenses, so keep them consistent and keep copies. Sales tax is set by states and local governments, and services are taxed in some states but not others. Never print your Social Security number on an invoice. If a client needs your tax ID, send a W-9 separately.
United Kingdom
Every UK invoice needs a unique number, your name and address, the customer's name and address, a description, the supply date, the invoice date, the amounts and the total. Sole traders show their name and any business name; limited companies show the full registered name. VAT registration becomes compulsory when taxable turnover passes £90,000 in a rolling 12 months. If a client pays late, UK law lets you claim statutory interest and a fixed sum; the late commercial payments page explains how.
European Union
Article 226 of the VAT Directive sets the common list: issue date, sequential number, supplier VAT ID, both parties' names and addresses, quantity and nature of goods or services, supply date if different, unit price excluding VAT, VAT rate and amount per rate. For B2B services to another EU country, add the client's VAT ID and the words "Reverse charge". Copy-paste wording: "Reverse charge: VAT to be accounted for by the recipient under Article 196 of Council Directive 2006/112/EC." E-invoicing rules are tightening country by country; Belgium made B2B e-invoicing mandatory from 1 January 2026, and Germany has required businesses to be able to receive e-invoices since January 2025.
Canada
Canada's input tax credit rules scale the required detail with the sale. Under $100 you need the supplier's name, the date and the total. From $100 to under $500 you add your GST/HST registration number and the tax charged. At $500 or more you add the buyer's name, the payment terms and a description of each supply. HST is 13% in Ontario and 15% in New Brunswick, Newfoundland and Labrador and PEI; Nova Scotia dropped to 14% in April 2025. Quebec charges QST on top of GST, shown as a separate line.
Australia
Only GST-registered businesses issue tax invoices. If you are not registered, title your document "Invoice" and do not add GST. Australia requires GST registration once turnover reaches $75,000 a year. Always include your ABN; without it, a business client may have to withhold 47% of the payment.
India
A GST tax invoice needs the supplier's name, address and GSTIN, a serial number of up to 16 characters, the date, the recipient's details and GSTIN (for B2B), HSN or SAC codes, description, quantity, taxable value, the tax rate and amount split into CGST and SGST or IGST, place of supply, whether reverse charge applies, and a signature. After the 2025 rate rationalisation, most goods and services sit in the 5% or 18% slabs, with 18% still the usual rate for IT and professional services.
Bangladesh
VAT-registered sellers in Bangladesh issue a VAT invoice on the prescribed Mushak 6.3 form, showing the seller's name, address and BIN, the buyer's details, the date and time of supply, description, quantity, value, and the VAT rate and amount. The standard VAT rate is 15%, with reduced rates for some supplies. Freelancers exporting services abroad usually invoice in USD and are paid through bank, Payoneer or Wise, while local clients often pay by bKash or Nagad. Check the National Board of Revenue for current rules, because VAT circulars change often.
Which invoice layout is easiest to read and gets paid faster?
The invoice layout that gets paid fastest puts the invoice number, due date and total due in the top right, keeps the line items in one clean table, and puts payment instructions directly under the total. Clients scan an invoice in a Z pattern: logo and title, then the number and dates, then down to the total. Put what they need on that path.
The choices I would make every time:
- One column of line items, five columns wide. Description, qty, unit, unit price, amount. Anything more and it wraps on A4.
- Right-aligned numbers. Decimal points line up, and the eye adds them without trying.
- A coloured or bold "Total due" box. One accent colour, used once. Not three.
- "How to pay" under the total, not in the footer. Footers get ignored. Put the bank details or PayPal link where the eye already is.
- The due date as a date, repeated next to the total. "Due 3 December 2026" next to the amount is the single biggest change I ever made to my own format.
- One page. If your line items run to two pages, summarise and attach a timesheet.
A logo is optional; no country I know of requires one. It helps the client recognise the email and file the PDF, and that is enough reason to add it. A professional invoice template with one brand colour and good spacing also reads as trustworthy.
Paper size matters more than people think. US and Canadian clients print on Letter; nearly everyone else uses A4. A Letter-sized PDF printed on A4 crops the footer, which is exactly where you put your bank details. Pick the paper size that matches the client.

Invoice format in Word, Excel, PDF or a generator: which should you use?
Build the invoice in whatever tool you like, but always send it as a PDF. Word and Google Docs are fine for one-off invoices, Excel and Google Sheets add automatic totals, and an invoice generator adds numbering, tax maths, tracking and reminders. The right choice depends on how many invoices you send a month.
| Option | Totals calculate? | Auto numbering | Tax per line | Tracks payment | Best for |
|---|---|---|---|---|---|
| Word / Google Docs | No | No | Manual | No | 1 or 2 invoices a month |
| Excel / Google Sheets | Yes, with formulas | Manual | With formulas | Manual log | Product sellers who like spreadsheets |
| PDF form | Sometimes | No | Manual | No | Sending, archiving, printing |
| Invoice generator | Yes | Yes | Yes | Yes | Anyone sending 3+ invoices a month |
The trap with Word is that the total is just text. Change a quantity, forget to retype the total, and you have sent an invoice that does not add up. I did this exactly once with a $3,200 invoice that said $2,900 at the bottom, and the client paid the lower number. Excel fixes the maths but not the numbering. If you want to stick with Office, the Word and Excel template guide shows how to lock the formulas. For a printable blank, see the blank invoice template post.
An invoice generator removes both problems. In Invoice Studio you pick one of 28 templates (six classics such as Classic, Minimal and Elegant, 10 gradient designs and 12 newer styles), add your logo and brand colour, choose A4 or Letter, and the line items calculate quantity, unit price, per-line discount and per-line tax on their own. You can add shipping, an invoice-level discount and "Tax & fees" rows for VAT or sales tax, pick from 14 currencies or add your own, list payment methods like bank, PayPal, Wise, Payoneer, bKash or Nagad under "How to pay", then download the PDF or email it with the PDF attached. QuickBooks does more on the ledger side, but for correct invoices and knowing who has paid, a generator is enough.
What invoice format mistakes get invoices rejected?
Invoices get rejected or delayed for missing or mismatched details, not for bad design. The most common causes are a missing PO number, the wrong legal name for the client, a missing tax ID, totals that do not match the line items, and no clear due date. Here is my list, roughly in order of how often each one has cost me money.
- No PO or reference number. Large clients match invoices to POs automatically. No match, no payment. Ask for the PO before you start work.
- Wrong bill-to name. The invoice goes to "Acme", the contract is with "Acme Holdings Ltd". Finance sends it back.
- Missing or wrong tax number. A VAT or GST invoice without your registration number cannot be used to reclaim tax, so the client will not pay it until you reissue.
- Totals that do not add up. One rounding error and the whole invoice looks careless. Round tax per line or per invoice, consistently.
- Duplicate invoice numbers. Two invoices numbered 041 look like a double charge. Some systems block the second one outright.
- No due date, or only "Net 30". Write the actual date.
- Vague descriptions. "Services: $4,000" invites questions. List what was delivered.
- Wrong currency or no currency code. "$" is US, Canadian, Australian and more. Write USD, CAD or AUD on cross-border invoices.
- Editing a sent invoice. Never change an issued invoice. Issue a credit note and a new invoice instead.
- Sending an editable file. A .docx can be changed by anyone and looks unprofessional. Send a PDF.
Copy-paste note for the bottom of any invoice, which prevents half of these questions:
Payment due by 3 December 2026. Please quote invoice INV-2026-041 and PO BRL-PO-7781 with your payment. Bank: [Bank name], Account: [number], Routing/Sort code: [code]. Questions about this invoice? Reply to this email within 7 days. Thank you for your business.
And if you offer an early-payment discount, this wording works: "2% discount if paid within 10 days (by 13 November 2026). Otherwise the full amount is due in 30 days." That is the classic 2/10 net 30 term in plain English. PayPal's own invoice checklist is a decent second opinion on the core fields.
How to make your own invoice format in 5 minutes
To make your own invoice format, set your business details and tax ID once, choose a numbering pattern, build a five-column line items table, add subtotal, discount, tax and total lines, and write your payment terms and methods in the footer. Save it as a template, and every future invoice takes about a minute.
- Minute 1: Header. Add your logo, business name, address, email and tax number. Title it "Invoice" or "Tax invoice" as your country requires.
- Minute 2: Numbering and dates. Pick a pattern like INV-2026-001. Add fields for invoice date, supply date (if you charge VAT or GST) and due date.
- Minute 3: Client block and reference. Bill-to name, address, tax ID if needed, and a PO / reference field.
- Minute 4: Line items and totals. Description, qty, unit, unit price, amount. Then subtotal, discount, tax per rate, shipping and total due with the currency code.
- Minute 5: Terms and how to pay. Due date, accepted methods with details, late-fee or early-payment terms, and a one-line thank-you. Save as your template.
If you would rather skip the setup, open the professional invoice templates, pick a design and fill it in. The structure above is already built, the maths runs itself, and you can also save quotes, estimates, credit notes, purchase orders and delivery notes in the same format so every document you send looks like it came from the same business. You can even speak the invoice out loud, in English, Bangla or 18 other languages, and the line items appear.
The best invoice format is the one you use every time. Pick a layout, lock the fields, and stop reinventing it per client.
